Hi Ann -

I would ask how the encumbrance got into the fund in the first place. Could it be that there is an order record that has that fund code? What would be easy enough to check with Create Lists of Milstats. If the encumbrance was placed there via Adjust Fund Balances. This does have a bearing on how I might suggest fixing the problem.

If the encumbrance was there because of an order record - the record might still be there. If you cancel the order - it should take care of the problem.

If the encumbrance was there because of an adjustment - I would adjust it again and clear it out. If the encumbrance is $4000.00, then I would add one for -4000.00 to clear it out to zero. This should do the trick. If there is an outstanding order and you do this - when you pay the order, you will end up with a negative encumbrance.

If you are not going to use the fund for anything - you should be fine.

Does this make sense?

Subject: [IUG] Acquisition encumbrances



Hi,

I am at best an acquisitions novice but this seems to me like it should
be easy. Here is the situation
We have an old fun with an encumbrance against it. It is brought
forward every year. We use fiscal close method 1.
We want to remove the encumbrance from the fund. It will not be spent -
ever. How do we do that? If I go in and do an Adjustment and zero
out the encumbrance what will it change overall? What should I be
careful of.
