Hi Susan (et al) -
I am working on my Milstats programs for IUG and I think I have a
solution (don't tell John Culshaw that I am late with my programs).
Anyway...this is a tricky question.
The one element that is true of any item that is checked out is the
LOANRULE. If it is not checked out, the LOANRULE is set to "0". The
ITEM Status will not work because items that are checked out, but not
overdue, have the same status as the books that are sitting on the shelf
"-".
So if you run a Milstats reports on all items, you will actually be able
to easily see what have a LOANRULE not equal to "0" and divide it by the
number of items.
I was thinking that you would be able to run a cross tab that could
compare location with LOANRULE. This could give you that comparison
between the location and the percentage of items checked out. However,
the LOANRULE is not one of my options on the cross tab.
I will play with this some more, but I do have one idea. It will be
dependent on the largest review file you have. But this is the concept.
You run a review file of everything where the LOANRULE does not equal
"0" (all items checked out). I understand that a large public library
might not have a review file that large, but bear with me please. You
run that review file through Milstats and get a Field Stats Report.
View the Location Report and then export to Excel. Meanwhile, you run
the same report through Milstats FOR ALL THE ITEMS. This will take a bit
of work, but you can merge the two Excel files and then it is a simple
calculation to see what is checked out and what is in the location. If
you do this work at the same time, you should be able to get a good
picture of what is checked out.
I am going to keep digging into this and will see if this the right
direction.

Does anyone have a method of determining what percentage of each item
location (or groups of locations) is currently in circulation? Unless
I've missed something obvious, nothing like this is catching my eye in
any of the canned reports.
